E-Mail Policies Problem or Solution?

Email filters do not know which the genuine email is or what belongs to spam. A user may have opted for certain information for which he has subscribed However, when such newsletter arrives; the subscriber finds it in the spam folder. A useless mail arrives in his or her Inbox.

Therefore, it is better to use your own innovative methods to solve the email related problems arising due to the policies adopted. The following are some of the common causes for good newsletters finding their way to spam only

• Sharing E-Mail Addresses With Other Groups

There are web sites to which we subscribe, that share the email addresses with other sites or companies. Similarly, a good website may have links to other’s email address also. Hence, the mail sent for a specific purpose reaches to a reader who is not at all interested in such news. The other email address has picked up the readers’ details to promote their own business. The viewer on getting such unnecessary mail reports it as spam and is annoyed also to get such mail. This can result in the viewer going for unsbscription as well.

Using a client’s email for a purpose without getting his consent can be an abuse to the email address concerned. Hence, it should never be done.

• Renting Third Party Lists

Many companies try to stuff the email fence. They will go to any lengths for getting their email list longer. Often, the legal team does not know what the marketing team is doing. One privacy expert in a large organization told me his organization. Most of the time the rental lists are procured by the marketing divisions without the knowledge of their legal department. Permission for sending emails without the consent of the reader is not permissible.

Even if the renting of such list may have been informal through another friend of yours still this database cannot be misused.

Mails sent to the addresses from such rental lists more often find their place in SPAM only. However, their may be an initial response, but same goes away with the subsequent email to that address as user is not interested in its contents.

• Two Wrongs Cannot Mean Right

If you are using email in a way that would embarrass your organization, stop now. Sure, you could wait until it is in the news and you are forced to stop, but more damage is being done as you contribute to the spam problem, continuously. This way you also increase the need for stronger spam filters -- filters that undoubtedly will falsely snare some of your own legitimate opt-in email down the line.

Being deceptive or just downright dastardly with email does not work. However, being straightforward does. If you do not think people will willingly subscribe to the email you are offering, then change your email offering.
